Main responsibilities

Main responsibilities include: Working closely with the Crossroads’ Country and Volunteer Mobilization Teams, the Volunteer Support Advisor, based in Dar es Salaam will:

Logistical Support: (50 %)

  • Support volunteers (North-South, South-South, National, South-North and Remote) with pre-mandate preparations, including providing information on culture and country context, budgeting, accommodations, packing tips, work ethic/protocols, etc.;
  • Coordinate logistics for arrival and departure of volunteers including airport pick-up and securing short-term accommodations;
  • Assist volunteers with finding longer-term accommodations;
  • Facilitate a 5-day in-country orientation for all volunteers;
  • Facilitate pre-mandate briefing sessions for all departing South-North and South-South volunteers;
  • Assist volunteers in obtaining or renewing their visas / work permits;
  • Continue assisting volunteers on logistic matters during their mandates;
  • Coordinate social activities to create a positive group dynamic and strong support network amongst the Crossroads’ volunteer community;

Security Risk Management and Wellbeing Support: (30%)

  • Ensure that security risk management documentation and procedures are up to date;
  • Monitor information related to the social, economic and political context and keep Crossroads informed of any changes or concerns;
  • Ensure that all volunteers are informed on risk mitigation and response protocols, including for emergent risk events;
  • Provide security risk management capacity-building sessions to volunteers and local partner organizations;
  • Provide volunteer management capacity-building sessions to local partner organizations;
  • Be on call 24-7 as first responder for emergency situations with volunteers, including situations of sexual violence;
  • Support volunteers through cultural integration, periods of crisis and provide solutions to challenges by providing guidance and mentorship;
  • Act as liaison between Crossroads, partner organization and the volunteers regarding volunteer well-being, safety and security;
  • Establish and maintain a network with other volunteer-sending organizations and the Canadian EmbassyHigh Commission to collaborate in terms of security risk management plans.

Financial and Administrative support: (10%)

  • Ensure all administrative and logistics documents for the country are up to date (i.e. Country specific information, visa requirements, etc.);
  • Support field visits to the country, including Crossroads staff, Board members, etc;
  • Manage an operating and emergency fund budget in accordance with Crossroads’ Financial policies and procedures;

Representation and Communications: (10%)

  • Represent Crossroads at local events, meetings with other organizations when needed and as agreed with the Country Manager or the Regional Program Officer.
  • When required and under the supervision of the Country Manager or the Regional Program Officer, develop and maintain in-country network with Canadian embassy strategic partners (i.e.: United Nations, Government, INGOs and civil society) with the objective to develop synergies and create program opportunities.
  • Identify and support volunteers in developing and writing success stories focusing on partners and specific projects to help Crossroads’ External Relations Team increase the visibility of Crossroads’ programming among the Canadian public.

Qualification criteria for selection include:

  • Minimum 3 years of experience in related fields.
  • Previous experience with security risk management, including risk mitigation and emergency response.
  • Previous experience in preventing, mitigating and responding to cases of sexual violence;
  • Previous experience in a volunteer / human resource support;
  • Previous experience in travel logistics coordination.
  • Previous experience in Africa with demonstrated understanding of country context and culture is considered a strong asset.
  • Previous experience in Tanzania with demonstrated understanding of country context and culture is considered a strong asset.
  • Knowledge of Kiswahili is considered a strong asset.
  • Demonstrated knowledge/skills and/or experience in training and facilitation is considered an asset.
  • Experience and knowledge with budgeting and expense reconciliation
  • Excellent organizational and administrative skills.
  • Knowledge and experience of programs in advancing women’s equality and economic autonomy.
  • Demonstrated experience and/or training in international cooperation, preferably in a non-profit environmental at the local level is an asset.
  • Excellent ability to work autonomously and willingness to take initiative.
  • Capacity to work collaboratively with a team, in person and from a distance.
  • Strong leadership and interpersonal skills to support volunteers, including mentorship and counselling.
  • Exceptional intercultural competencies and attitudes, including conflict resolution, patience and respect for local expertise and work culture and intercultural communication.
  • Ability to cope with cultural isolation and a different standard of living.

Eligibility criteria:

Personalized support before, during and after the mandate provided by an experienced and welcoming team. The Crossroads’ experience includes the following:

  • Daily living allowance (amount varies depending on the country of assignment)
  • Medical insurance and vaccinations
  • Pre-assignment online training from 21 – 27 August 2024 (excluding weekends)
